Scan and import sheets
Once the sheets are filled in, you scan them, the system reads them, and you confirm. Most sheets need nothing from you.
Scan the sheets
- Best: a scanner, all sheets into one PDF, at 200–300 dpi, in grayscale.
- Also fine: clear photos (JPEG or PNG) taken from above, in good light.
- Each page must show all four black corner squares. A page whose corners are cut off, folded or in deep shadow cannot be read.
- Order and direction do not matter. Pages can be upside down, sideways or mixed up; the system sorts them out from their codes.
- Limits per upload: 200 pages and 50 MB. Split a bigger pile into several uploads.
Upload and read
- Open the survey and choose Options → Paper answer sheets.
- Under Upload scanned sheets, choose your files and click Read the sheets.
- Reading runs in the background. You can leave the page; you are notified when the sheets are ready.
The batch then shows how many sheets were read cleanly, how many need a look, and any pages that could not be used.
Review what needs a look
Only uncertain items are shown, each with the image of that part of the page:
- An unclear mark: two options shaded in a single-choice question, a faint mark, a tick or a cross beside the circle. Choose the answer, or leave it blank.
- A blank sheet: nothing is marked. Keep it or discard it.
- A possible duplicate: the same sheet number was seen twice, perhaps a photocopy. Keep it as a separate response or discard it.
- A missing page: a page of a multi-page sheet is not in the upload. Import it with that page's questions left blank, or wait for the page.
- A required question left blank, or a value that breaks the question's rules (for example an age of 150): correct it, or leave it blank.
- An answer although it should have been skipped: the respondent answered a question their earlier answer skipped. Keep it or clear it.
Handwritten answers
Text answers, and numbers or dates printed as boxes, are handwriting. For each one you can:
- Type it yourself from the image shown, at no cost; or
- click Read handwriting with AI. Before it starts you see the most it can cost from your AI credit, and you pay only for what is used. Every suggestion is marked AI suggestion - check it: accept it, correct it, or mark it Cannot be read.
Numbers and dates read from boxes are checked against the question's rules (for example a maximum of 120) before they are saved.
Confirm and save
When nothing is left to look at, click Save as responses, then Confirm and save. Each saved sheet:
- becomes one survey response, recorded as imported by you;
- uses one scanned sheet from your plan or packs;
- counts towards the survey's response limit, like any other response.
If the sheets or the survey's capacity run out part-way, the sheets that fit are saved and the rest wait in the batch, nothing is lost. Add sheets or capacity, then confirm again.
Page images are kept 30 days after confirming, so you can check an answer against its paper, then deleted. Choose Keep page images permanently to keep them, or Delete page images now to free the space at once. An unconfirmed batch is deleted after 30 days, with a reminder a week before.
When the survey changed after printing
| What changed | Sheets printed before the change |
|---|---|
| Nothing printed on the sheet (a new question, a description) | Read as usual |
| The wording of a printed question or option | Read, and held for you to check: respondents read the old words |
| A printed question removed, its type changed, or its options added, removed or reordered | Refused: the circles no longer mean the same answers. Enter these sheets with the CSV import, and print new sheets for the next round |
When something goes wrong
| What you see | Why, and what to do |
|---|---|
| The four black corner squares were not all found | A corner square is cut off, folded or covered. Rescan the page flat, or retake the photo with the whole page in view. |
| The image is too dark / too light / resolution too low | Scan in grayscale at 200–300 dpi, or photograph in even light without shadows. |
| The sheet code could not be read | Choose Assign by hand and enter the run, sheet and page numbers printed on it, or rescan it. |
| Sheet … was already imported | That numbered sheet was saved before. Nothing is counted twice. |
| This page belongs to «…» | The page was printed from another survey. Upload it there. |
| Many unclear marks | Respondents ticked instead of shading. Remind them, before the next round, to shade the circle completely with a blue or black pen. |
| Not enough storage | Free space, or buy extra storage, then upload again. See Storage and files. |
