Record indicator values

A data collection is one round of collection: one visit, one monthly round, one register review. You record who collected, when and where, then enter a value for each of the project's indicators in one go.

Record a data collection

  1. Open Data Collections and create a new one.
  2. Choose the project, and fill in:
    • Collection date: when the data was actually collected.
    • Who collected it, where, the data source, and the period.
    • A quality rating from 1 to 5.
  3. Continue to the values. Every active indicator of the project is listed.
  4. Enter a value for each indicator you measured. You can break each value down by gender, age or location, and add a remark.
  5. Save.

The indicator's progress updates straight away.

The collection date matters most

Each value is placed in an indicator's period by the collection date, not by the day you type it in.

Warning Entering January's figures in March with March's date files them under March, and January shows as overdue. Always use the date the data was actually collected. Catching up on three months means three data collections, each with its own date.

Empty is not zero

  • A value left empty is skipped. It means "not measured".
  • If the real answer is zero, type 0.

Rate the quality honestly

The quality rating starts at 3. Change it to reflect reality:

  • 5: complete, checked, collected as planned.
  • 3: usable, with known gaps.
  • 1–2: collected under difficulty. Treat any conclusion carefully.

A low rating isn't a failure. It warns anyone reading a report not to rely too heavily on that figure.

Note If an indicator is missing from the list, it's marked inactive or belongs to a different project.
